AI-assisted document capture in procurement

Invoices and shipping manifests came in a wide range of international layouts and had to be transferred by hand into the existing accounting software. The procurement clerks were very attached to their familiar ledger screens and booking workflows.

Instead of forcing a new application, we placed intelligent document capture in front of it: a layout-aware AI extraction service reads the incoming PDFs regardless of format, recognizes the line items and presents them in a temporary web table that matches exactly the layout of the familiar booking ledger — ready for quick human review.

Manual capture effort dropped drastically. The approach was adopted because nobody had to learn new accounting software — automatically filled fields are checked in the familiar ledger context.
